x-cart ~ changing the order status
Changing the order status in the admin section is handy for keeping track of orders, but it also provides certain functions as well. Here's a summary.
To gain access to the orders section, click Orders in the Management section of the admin navigation .
Automatically assigned by the software
- QUEUED - this is the status automatically assigned to the order when it has been generated.
- NOT FINISHED - indicates that the online payment hasn't been completed (this is automatically assigned by the software). For safety, you should always match up your payments and your orders manually before shipping products.
- FAILED - this is also automatically assigned when the online payment has failed. You should contact the buyer to arrange alternative payment options
- PROCESSED - this is automatically assigned if your paymet gateway automatically links up and is recognised by the software. This confirms payment is complete. PayPal does this for you (but you should still manually check). When this status is set, the customer gets an email saying the order has been processed. Note: we can change the wording on this email - if you'd like it changed, please let us know what you'd like it changed to.
Manually assigned by you
- PROCESSED - should be used when the order is paid for. When this status is set, the customer gets an email saying the order has been processed. Note: we can change the wording on this email - if you'd like it changed, please let us know what you'd like it changed to.
- COMPLETE - assign this manually after you have shipped the order. When this status is set, the customer gets an email saying the order has been completed successfully. Note: we can change the wording on this email - if you'd like it changed, please let us know what you'd like it changed to.
- BACKORDERED - the software manual suggests you use this for when a customer cancels an order. I'd be using it for actual backorders.
- DECLINED - use this for when you cancel an order for whatever reason you see fit. Since there is no 'cancelled' option, you could also use this for when a customer cancels an order.
